As an Offshore Document Controller, one of the main responsible for overseeing and executing administrative tasks involved with the offshore project operations. This involves managing documentation, coordinating schedule, vessel crew changes, handling personnel records, crew training, keeping company and client required data bases update and ensuring compliance with safety regulations in challenging offshore environments. Vessel Document Controller operational efficiency and contribute to overall productivity on the Vessel and to the project.
JOB REQUIREMENTS:
- Preferred Qualification: Diploma/Degree/Document control, Office Administration, HR or Business management with 2 years experience in offshore operations.
- Work offshore at required location on a 35-42 day rotation cycles.
- Has a current offshore medical
- Has completed a Optio approved offshore survival training course with CA-EBS
- Hold a Current Passport with Validity more than 2 years
- Advanced Microsoft Office package skills, especially in MS Word, Excel, MS Database and OneDrive Database
- Good command of English language, written and verbal
- Knowledge of offshore oil and gas operations
- Familiarity with offshore vessels and operations
DUTIES/RESPONSIBILITIES:
- Maintain revisions levels of drawings
- Keep historical records for each subsea structure as files are compiled
- Document and keep a record of all data archived for review for future ops
- Maintain document transmittal forms
- Maintain planned maintenance records for subsea structures Maintain in section, Maintenance and Repair records for offshore structures
- Tracking all crew movements, ensuring that all regulations are adhered to and that correspondence is maintained between the various parties requiring the transport and transfer of crew
- Follow up and controlling all helicopter/boats operations for crew, spares and stores. Ensuring that all correct parties are notified in advance and coordination with Offshore Manager.
- Assist in planning for the morning/evening meeting’s content and taking minutes during these meetings.
- Daily Progress Report completion – obtaining the signatures of the various parties and ensuring that any changes requested are correctly made.
- Assist with safety meeting and safety cards ensuring that items are addressed and follow up with closure of completed items.
- Expediting orders and controlling inventory of general project items and safety related items such as PPE
- Compiling and administering personnel timesheets prior to submittal
- Tracking visa validity and cross checking with crew changes schedule
- Maintaining POB list onboard conjunction with vessel Master & bridge Superintendent
- Other duties as assigned
